See Who's Volunteering Today: A Guide for Program Facilitators

As a program facilitator, you can see who is volunteering and when! There are a few ways for you to check the schedule. You can review the Scheduling area of your dashboard for a calendar view of the current schedule. You can also review the Hours area of your dashboard to see who is checked in today. In this article, we cover: 


Scheduling 

From the Scheduling area of your dashboard, you can review a calendar with scheduled opportunities. If you click on a specific date, you can see more details about that opportunity—including who is scheduled. 


How to review the schedule 

1. Go to Volunteerism > Schedule and click View More on the date you want to check. 

2. Click the number under Responses to see who has responded. 


3. In the next window, you can see who responded for that opportunity and, if a waitlist is enabled, who is on the waitlist if the opportunity has met its max capacity. 


Hours

If you want to check in volunteers for an opportunity, see who is checked in now, or review hours, you can see all of this from the Hours area of your dashboard. 


How to check-in volunteers

1. Go to Volunteerism > Hours from your dashboard. 2. To check in volunteers for an opportunity, click Check-In.

3. Click List for the opportunity. 

  • If the opportunity has scheduled shifts, click Select This Shift for the shift you want to check volunteers in for. 
    • You can see how many volunteers are already checked in for a shift under the Checked In column. 
    • You're now ready to move onto the next step!

4. Select a user group as applicable. 

5. Check the boxes beside the users you want to check in. 

  • You can see a snapshot of important details about that opportunity under the opportunity title—e.g., shift date and time, number of volunteers currently checked in for it, and then number of available slots. 

6. Click Check In Users when you're ready! 

  • The status of the volunteers changes from No to Yes under the Checked In column and they now appear on the Checked In Now tab. 


How to see who's checked in now

To see who is checked in now, click Checked In Now

  • You can see who is checked in, for what opportunity, and the time that they checked in. 
  • You can also check out volunteers from this area. 
    • Under Check-Out, select an option from the dropdown to check out volunteers as needed.
