I Just Upgraded and Have Tracks—Now What?

If you recently upgraded to our Amplify product, you can now access registration Tracks. Registration Tracks is a feature that allows you to create multiple pathways for users to register on your site. 


For instance, maybe you want adults to register on one Track and those under 18 to register on another. Maybe you want licensed teachers on one Track and licensed doctors on another. It's essentially a way to ensure individuals are on the "right track" when they sign up on your site! 


But what if you don't need Tracks? What happens to the volunteers you already had on your site before the upgrade? We explore these frequently asked questions and more in this article, so read on! 


What are Tracks?

Before we dive into some of the frequently asked questions about registration Tracks, let's define them! 

  • A registration Track is a personalized pathway that you, or another site manager, set up for volunteers to complete during registration. 
  • When volunteers sign up on your site, they have the option to select a registration Track to complete: 

Tracks help ensure individuals complete the necessary steps applicable to them at registration. For example, Track helps when: 

  • You want to verify that select users meet specific qualifications. 
  • You want specific users to answer custom registration questions. 
  • You need to have adults complete one waiver qualification and minors another, etc. 

There are many reasons why you may choose to utilize the Tracks feature—and plenty of reasons why you don't. It comes down to how you want to set up your site's registration process to meet your organization's volunteer needs. Click here to learn more about Tracks. 


What if I don't need Tracks? 

No problem! You can just set up your default track as the only registration pathway. All users registering on your site would then follow that same registration process depending on how you've configured it. 


What happens to my existing volunteers? 

Your existing volunteers aren't placed into a Track. You can either manually add them to a Track or invite them to one, as applicable. Only new users to your site after the upgrade are prompted to complete a registration Track. 

    Which Track they complete depends on how you have configured your volunteer registration Track settings and how they registered on the site—i.e., directly from the site, through the Check-In Kiosk, or on the Causer App. 

So you know: Please note that volunteers won't see any incomplete qualifications in their user profile if they aren't part of a track. If you want them to interact with a qualification, you can either: 

  • Make sure the qualification is required for one or more volunteer Opportunities 
  • Invite users to complete a Track that has the qualification required



How do I use Tracks? 

How you use Tracks depends on what you want to achieve with your user registration process. Here are a few examples of how you might use Tracks: 

  • You want to ask role-specific questions from certified or licensed professionals
    • You can have a default Track for your non-certified users and a special Track that only those who fall under the umbrella of certified or licensed professionals complete 
    • The questions would be tailored to those individuals
  • You want to set up a Track that has Qualifications for only adult volunteers to complete and another that anyone—adults and minors—can complete 
  • You want the users who register on a specific Track to be automatically placed into specific User Groups or Programs
    • These are options available when you set up the registration Track
  • You want to set one registration Track to private for select volunteers
    • With this option, you must share a link to the registration Track or invite users to complete the Track

How do I see and contact users in a Track? 

You can review a volunteer list and email those volunteers in bulk right from your new Tracks area! 

1. Go to Volunteersim > Tracks

2. Select the Track Name you want to review a volunteer list for.

3. Click Volunteer Lists

From here, you can: 

  • Review the volunteers registered for that Track
  • Email volunteers on the list 
  • Copy a join link for that Track
  • Export the volunteer list
  • Remove volunteers from the Track

How do I add people to a Track? 

There are a few different ways to add volunteers to a Track. You can send them a join link, invite them with the User Filter, or send them an invite from the user profile area. Click here to learn more about inviting users to a registration Track.
